Dear Staff Member of the Esteemed Brazilian Aeronautical Commission in Europe

Good morning, I hope this email finds you well. As you may know we have been graciously instructed by the esteemed Brazilian Aeronautical Commission in Europe to undertake your removal from the UK to Brazil. It will be a true pleasure to serve you.

This current email is divided into the following headings:
1.    Basic description of the services we shall be performing for you
2.    Introduction and contact details of the people whom shall be managing you removal

1.    Introduction and contact details of the people whom shall be managing you removal

As you may know, Bolliger will be handling the following services for your removal:
•    Pre-move survey at your origin domicile
•    Raising of insurance policy for your removal
•    Full export packing service at your origin domicile
•    Labelling of all items and compilation of an inventory
•    Loading of your goods and transport to our warehouse
•    Upon receiving the green light from your kind self and our destination agent we shall load the goods into a 1×20 foot container
•    Export customs clearance and the port of Felixstowe
•    Ocean freight to port of entry Rio De Janeiro
•    Import customs clearance
•    Transport of container to your destination domicile
•    Unloading of your goods
•    Full unpacking of your goods
•    Removal of used packing material on day of delivery

2.    Introduction and contact details of the people whom shall be managing you removal

The move manager in charge of your removal shall be Ms. Nora Manolachi (0208 459 5008, nora.manolachi@bolliger.international ). Please rest assured that you are in excellent hands, please direct all future correspondence directly to Ms. Nora, however should you have any perplexities I am also at your service.

Ms. Nora will be in contact to firm up arrangements and discuss the various aspects of the removal including insurance (described below).

3.    The survey for you removal

Mr. Roberto will discuss in detail your technical requirements and will attempt to isolate some dates with you for your removal. Please attempt to indentify prior to the collection of your goods which dates would suit you best.

 4.    Your allowance

Most likely, wou will have already have received your “Service Order” from the head office of the esteemed BACE. Please note that this document contains your volume  and insurance allowance, up to which the esteemed BACE will cover for your removal.

We can of course ship and insure greater amounts but plesae note that any additional volume or insurance coverage will be charged to you prior to the shipment of your goods in the container.

5.    Special notes (new items and VAT recoup)

With regards to eventual items to be delivered to our warehouse:
•    Please have any deliveries of new items made to the following address: Bolliger UK Ltd, Units 9&10, Ashford Business Complex, 166 Feltham Road, TW15 1YQ, Ashford, London, UK (contact person: Nora Manolachi, tel. 0208 459 5008)
•    Whenever the information is made available to you, please would you let Ms. Nora have the approximate date and time of delivery

With regards to eventual invoices to be processed for VAT return, to be eligible for VAT return the invoices must contain the following details (clearly marked on the invoice):
•    Your name (not the name of a family member)
•    Your address in Brazil (not the address in the UK)
•    The address in Brazil on the invoice must clearly say “Brazil” (sometimes this is left out)

Also we need:
•    The EORI number of the shops, this does not need to be on the invoice (often it is) but it can also be communicated to us by email

Once Bolliger completes the export customs clearance of the of the items which are eligible for VAT refund and shipped by container: we would provide documents by email called “MRN” which stands for “Movement Reference Number”. There will be an MRN for each of the invoices we present to customs.

The actual MRN code is composed of 18 letters and numbers and is at the top of the front page (about 1 quarter the way down the page).

To obtain the VAT return from the shops, you can send each of these MRNs to the relative shops that you bought the items from (maybe it will be easier if you attach a copy of the original invoice as well) and each shop will undertake a bank transfer to your bank account for the refund.

Most of the time this process requires a simple email to the shop, once they have acknowledged your email they will ask for your bank details (I would not suggest to send your bank details until they specifically ask you) and then they will send you a confirmation of the refund by email. Sometimes shops will ask for a document called DAE as well as the MRN, if this is the case please let us know and we shall supply it on a case by case basis

6.    Documents necessary to forward your shipment

If I may take a few more minutes of your time, I would like to outline some of the documents that will be necessary to forward your shipment:

To insure your goods for this removal, please find attached:
– Detailed insurance form
– Brief manual on how to fill out the detailed insurance form
The manual should cover the majority of the questions you may have on the subject, however if you have any further questions I am always at your service via phone or email.
Please note that without a signed copy of the detailed insurance form we shall not be able to complete the packing services at your domicile, or ship your container, so please let us have the form signed and sent to us by email well before your last collection date (we suggest to complete the form every time you undertake a packing process).

Import Customs Clearance Into Brazil:
Please see below a detailed description of the import customs process for importation into Brazil. There are also several PDF and Word Documents that need to be downloaded, these are below as well.
In the next few days our colleagues from Brazil Link will be reaching out to your either via phone or email to discuss the collection of the various documents necessary for import customs clearance, they will be delighted to guide you through the process and to reply to any questions you may have on the matter.

7.    Import customs clearance instructions

A Brazil Link será a empresa responsável pelos serviços de destino da sua mudança residencial para o Brasil. Com o intuito de evitarmos atrasos e problemas na liberação aduaneira no Brasil, solicito que proceda com a preparação da documentação necessária, conforme abaixo:

a) leia atentamente o arquivo Anexo 01 – Relação de Documentos Necessários.pdf, que relaciona todos os documentos necessários e procedimentos de preparação exigidos pela Receita Federal do Brasil.

b) preencher, imprimir, assinar e reconhecer firma dos documentos abaixo (obedecendo as exigências informadas no Anexo 01 acima):
•    Anexo 02 – Procuração.doc
    Anexo 03 – Declaração de Residência no Brasil.doc
•    Anexo 04 – Declaração de Residência no Exterior.doc

Recomendo que, após preencher esses formulários no computador, envie-me por email para que possamos fazer uma verificação prévia antes do senhor levá-los para reconhecimento de firma.

Após recebermos o Packing List do agente de mudanças na origem, iniciaremos a preparação do Anexo 05 – Lista de Bens.

ATENÇÃO: favor informar seus telefones, seu CPF e sua data de nascimento.

MUITO IMPORTANTE (favor ler com atenção):
1) Providenciar o Atestado Consular de Residência no Exterior junto ao Consulado do Brasil na UK, antes do sua vinda para o Brasil. Esse documento precisa declarar pelo menos 1 ano de residência fora do Brasil para permitir o direito à isenção de imposto de importação para bens residenciais. Viagens ocasionais ao Brasil não prejudicam a isenção do imposto de importação, desde que totalizem permanência no país de até 44 dias no período de 1 ano antecedente à data do seu regresso.

2) Como a legislação brasileira exige que o importador já esteja vivendo definitivamente no Brasil, para que se possa fazer a liberação alfandegária da mudança, a Receita Federal obriga a que se apresente cópia autenticada do bording pass (ticket de embarque) da vinda para o Brasil (de todos os vôos desde sua saída da UK até sua chegada ao Brasil). A Receita Federal não aceita boarding pass eletrônico enviado para celulares, sendo necessário que sempre se faça o check-in no aeroporto e pegue o ticket de embarque tradicional (em papel). Além disso, um dos formulários (Anexo 02 ou Anexo 03 ou Anexo 04 ou Anexo 05) deverá ter reconhecimento de firma por autenticidade (que exige a sua presença no cartório no Brasil).

3) A Certidão de Movimentos Migratórios deve ser solicitada com urgência em uma unidade da DELEMIG (Delegacia de Imigrações da Polícia Federal). Esta certidão deve ser conforme o modelo em anexo. A alfândega não aceita declarações, mesmo se emitidas pela Polícia Federal. Caso a unidade da Polícia Federal lhe forneça a certidão fora do padrão exigido pela alfândega, favor solicitar para que também lhe forneçam o documento denominado “Histórico do Viajante“. Como esta certdão deve apresentar sua última entrada no Brasil, não adianta tentar providenciar este documento antecipadamente, sendo necessário solicitá-lo logo que chegar ao Brasil.

4) Bebidas alcoólicas são itens restritos e estão sujeitos à incidência de impostos caso a quantidade total seja superior a 12 litros. Importante: devem ser embaladas separadamente do restante da mudança e relacionadas em lista com todos os dados de cada bebida: nome, tipo de bebida, país de produção, volume por garrafa, quantidade de garrafas e preço unitário.

5) A alfândega brasileira geralmente exige a apresentação de nota fiscal (ou similar) para todos os bens, especialmente móveis Ikea, eletrodomésticos, equipamentos eletrônicos e bens que podem ser considerados novos (usualmente até 1 ano de compra, dependendo da análise do inspetor da alfândega, que vai avaliar a conservação do bem). Por favor, envie-nos por email (com antecedência) uma cópia escaneada das notas fiscais (ou similares).

6) O não cumprimento das exigências da Receita Federal no preparo da documentação poderá acarretar em: perda de isenção de imposto de importação, exigência de apresentação de outros documentos e atrasos no processo de liberação alfandegária (que geram custos portuários adicionais). Portanto, recomendamos muita atenção às exigências informadas no Anexo 01 – Relação de Documentos Necessários.pdf. Em caso de dúvidas, por favor não deixe de nos informar.

7) A legislação brasileira determina que em uma mudança residencial o importador pode trazer somente:
•    bens de uso exclusivamente doméstico: móveis, roupas, sapatos, eletrodomésticos, louças, utensílios de cozinha, etc.
•    ferramentas, máquinas, aparelhos e instrumentos necessários ao exercício da profissão, arte ou ofício do importador (será exigida comprovação e o benefício não se estende a familiares do importador)

8) Materiais de construção, instalações e bens de consumo não são considerados como bens de uso doméstico, não estando sujeitos à isenção de imposto de importação e, portanto, podem ser taxados ou apreendidos caso o fiscal aduaneiro considere procedente.

9) Não enviar medicamentos na sua mudança, uma vez que esses itens são restritos e sempre causam problemas na liberação alfandegária, gerando retenção de bens, atraso no processo aduaneiro, multas e gerando custos adicionais muito altos.
